Every rate plan in Booking Engine has its own policies and cancellation rules. Guests pick dates of stay in Booking Engine and later can read detailed booking cancellation rules in the rate plan details under its name.
How to select a cancellation rule for a rate plan
To set cancellation rules for rate plans, take the following steps:
1. Go to the “Room management” menu section → the “Rate plans” page.
2. Click on the name of the rate plan and open the “General settings” tab.
3. Scroll down to the “Main rules” section and find the “Cancellation rules” field.
4. Click on the drop-down list and select the rules you need. Then, click on the “Save” button.
In the drop-down list, there are always cancellation rules that you set on the “Hotel management” menu section → the “Cancellation policy” page.
By default, there are two preset cancellation rules in TravelLine Extranet: the Main rule and the Non-refundable cancellation rule.
The Main rule stands for a free booking cancellation in case guests cancel earlier than 24 hours before check-in. If guests cancel such a booking later than 24 hours before check-in, the hotel can charge a cancellation fee that equals the cost of the first night at the hotel.
The Non-refundable cancellation rule stands for a cancellation rule with a penalty. In case of cancelation, the hotel can charge a fee that equals the cost of the first night at the hotel.
How to add or edit a cancellation rule
To add a new cancellation rule, make the settings described in the following article: How to set up a cancellation rule.
In order to change an existing cancellation rule, take the following steps:
1. Go to the “Hotel management” menu section → the “Cancellation policy” page. On the right of the policy’s name, click on the “Action” button and select the “Edit” button.
2. Change the settings of the cancellation rule: the penalty amount and the period before arrival. Then, click on the “Save” button.
If the “Add a cancellation rule” and “Edit” buttons are not clickable, let TravelLine customer support know by email, and we will grant you the necessary access rights. When sending us a request, indicate a login of the user that should get the access right.
How cancellation rules are displayed in Booking Engine
To see a detailed description of a cancellation rule, go to the room selection step in Booking Engine, and click on the “Free cancellation” or “Cancellation policy”. The Platform calculates the period of the free cancellation depending on the cancellation rule bound to the rate plan.
If a free cancellation is available, users will see the “FREE cancellation” clickable text. When clicking on the text, users see detailed information on the period of free cancellation.
If a free cancellation is not available, there will be the “Cancellation policy” clickable text.
