When changing certain details in a reservation, reconciliation of the reservation is required.
Change reservation details if:
1. Reservation has been cancelled or there is a no-show;
2. Dates have been changed;
3. Number of rooms has been changed;
4. Room type has been changed;
5. Price has been changed.
Reservations are available for reconciliation after departure date only. According to standard conditions of the Agreement reconciliation can be done within 4 days after departure date.
You may find the exact reconciliation date in the “Accounting” > “Reservations reconciliation” section.
It is not possible to make changes after the reconciliation period is over.
To reconcile reservations go to “Accounting” > “Reservations reconciliation” . All the reservations from the website are divided into folders by reporting month. Current reporting month is highlighted by frame.
Click on the reporting month to see the report. By default, reservations for the entire month are shown. To see reservations for certain dates, move the slider and click "Show".
To exclude reservation from reconciliation, click on the switch in the "Status" column.
The "Cancel reservation" window will appear > "Submit cancellation request".
After the reservation is cancelled, the status will change and its price will be excluded from the payment documents. If a penalty is charged for a reservation, a commission equal to the penalty will be charged.
You can change the date of arrival/departure and adjust the price of the reservation.
When the dates are changed, the reservation price is not adjusted automatically. If required, adjust it manually in the "Price" column and save the changes, the commission will be calculated automatically.
If the reservation is paid through the hotel's acquiring, by bank transfer/non-cash transaction or guaranteed by credit card and the new price of the reservation is less than the prepayment refund should be done by the hotel.
All the changes made can be found in the "Modification history" column.
If you have reconciled the reservation details, mark it as processed not to return to it later. Click on the sequence number, the background of the cell will become lighter, and the font will change from bold to normal.
Use filter “Bookings” in the upper right corner to see all, unprocessed or processed reservations.
Click on the “Export reconciliation into Excel” link in the upper right-hand corner to export reconciliation into an Excel file.
If your extranet has integration with PMS and your PMS supports automatic reconciliation of reservations, the button "Reconcile with PMS" will be available.
