February 4, 2021 — Automatic merging of similar guest profiles

Bookings get to TravelLine WebPMS from the tape chart, TravelLine Booking Engine, and Channel Manager. For every new guest, the system automatically creates a new guest profile. Sometimes, there are several profiles of the same guests if they booked on different points of sale. For example, in January, a guest booked on Booking.com; in February, he booked on the hotel website — in the result, there are two identical guest profiles. To find them, we introduced merging of similar guest profiles to TravelLine WebPMS.

Since now, identical guest profiles merge automatically, and duplicates are no longer created. New guest details are compared to the existing ones. The automatic merging takes place if the following coincide:

  • First and last name

  • Phone number and email.

If only first and last name in profiles coincide, then a new guest profile is created.

Guest details that have been mentioned in the new booking for the first time are added to the existing guest profile automatically. If all the guest details were already there, there will not be any changes. For example, the receptionists indicated the citizenship of a guest in the tape chart, it is considered more reliable and will not be altered by guest profiles sent by online distribution channels.

To enable this, go to “Property management” > “Settings”. Open the “Main settings” tab and tick the “Automatically combine guest profiles for reservations from the website and from sales channels” box.
