Why data in reports do not add up

Last update: 26.09.2024

In this article, we will look at reports that should not be compared and for reasons why data in some reports do not add up.

1. The difference between the TravelLine WebPMS reports and the Reports on Bookings

Reports from TravelLine WebPMS located in the “Property management” > “Reports” and reports from the “Reports” menu section > “Bookings” page cannot be matched for the following reason:

Metric compared

TravelLine

TravelLine WebPMS

Revenue

Calculated the revenue for every booking

Most of the reports calculate the revenue for each room night

Bookings

Contains all the bookings ever confirmed in TravelLine; it is impossible to delete such a booking

Bookings made on distribution channels can be removed from the Front desk; deleted bookings will be taken into account in the TravelLine WebPMS report

Let’s have a look at the example from the booking details page of any booking.

Date

Cost

September 14, 2022

40 euros

September 15, 2022

40 euros

September 16, 2022

40 euros

September 17, 2022

40 euros

September 18, 2022

40 euros

The total amount in the invoice: 200 euros

The report on bookings will display the total amount in the invoice no matter the selected period. The reports in TravelLine WebPMS will display the cost of stay during the selected period.

For example, let’s look at the period from September 14 to September 18, 2022. In the Report on Bookings, the amount is 200 euros. However, in the “Revenue and occupancy” report, the amount might be 120 euros.

2. Statistical and general reports in the TravelLine WebPMS reports

In the “Property management” > “Reports”, there are two types of reports: general and statistical.

In general reports, the data are updated simultaneously.

If a booking was made or canceled, the general report will recalculate the data based on the just received information.

If you remove a room/ room type, the general reports will automatically recalculate all the metrics that take rooms into account. Thus, past data will no longer be valid.

The statistical reports update once per 24 hours at 1 am. New bookings, cancellations, and information on booking modifications will be displayed in statistical reports on the next day.

If you remove a room/ room type, the statistical reports will not recalculate the past data. Thus, the statistical reports always keep valid historical information.
